Case study · Elevator WBO Service Company In production

From field survey to estimate.
AI handles the paperwork.

A mobile survey app and an AI estimating assistant turn building findings into a priced estimate. The human reviews, approves, and adjusts where needed.

The estimator spent the week traveling from building to building, taking photos and recording what each job required. Back home, those findings became a weekend of estimates and customer proposals—before another week on the road.

This company works as a subcontractor to elevator companies, handling Work by Others (WBO): the building-side work that supports an elevator modernization.

I helped analyze the business and develop the growth-plan presentation. This build addresses a practical bottleneck: turning what is captured in the field into an estimate without rebuilding it by hand.

01

A structured starting point

The mobile survey app keeps photos and findings together while the surveyor is in the building. An approved pricing catalog and the new B5 estimating form give the AI assistant a consistent basis for preparing the estimate.

02

An AI assistant that does the preparation

The estimator travels four to five days a week. I designed the process so he could work from his phone: submitting a survey triggers estimate generation, and a text conversation with the AI assistant handles revisions. The assistant does the preparation; he reviews, approves, and adjusts where needed.

03

Human judgment where it matters

The estimator approves pricing and can adjust markup or manually price unique requirements. The goal is to automate the flow while keeping those decisions in human hands.

What changed

The first part works.
The full flow is still taking shape.

Working today

Survey → estimate → review

The app is now in use. Testing confirmed that submitted surveys generate estimates, and the assistant can revise them by text—including markup changes and manually priced requirements.

Use is just beginning. Reduced weekend paperwork and time savings have not yet been measured.

Still being connected

Proposal → document delivery

The next work connects approval to proposal generation and the email assistant. It also adds an internal survey report with photos and a Fire Life Safety cutsheet for subcontractor pricing.

The aim is to start pricing requests sooner and carry the survey through to customer delivery, with approval before sending.
